ServiceON Inc. ("ServiceON," "we") provides appliance repair services in Northern California. CA BEAR License #49373. This policy describes what personal information we collect through our website and in the course of providing service, how we use it, and your choices.
What We Collect
Information you provide
- Contact and booking details: name, phone number, email, service address, appliance brand/model, and a description of the problem — when you request or schedule service through our website forms, by phone, or by text.
- Service records: diagnosis, estimate, invoice, repair history, and photos or video of the appliance or pre-existing conditions taken to document the work and protect both parties.
- Communications: emails, texts, and call notes related to your service.
Information collected automatically
- Basic website analytics (pages visited, approximate location from IP, device type) via Google Analytics 4 and Google Tag Manager. We do not run advertising networks, ad retargeting, or behavioral advertising on our website.
What we do NOT collect
- Payment card numbers. Electronic payments are processed by our payment provider, iWallet (iwallet.com), directly on their systems — we never see or store your full card number. Payment links are sent to your mobile number via SMS; you complete payment on iWallet's secure platform. Cash is accepted; checks are not. Cash payments involve no payment data beyond the invoice record.
How We Use Information
- To schedule, perform, document, and warranty your repair.
- To generate and deliver estimates and invoices, and to process payments through iWallet.
- To communicate about your appointment: booking confirmations, arrival-window reminders, and follow-ups by email and SMS. Appointment texts are sent through our field-service platform (Workiz). By providing your phone number when booking, you consent to receive service-related text messages about your appointment; reply STOP to opt out. These are transactional messages, not marketing. Phone calls and some text messages are handled through our business phone system (RingCentral).
- Call recording: calls with ServiceON may be recorded for quality assurance and accurate service records. Inbound calls play a recording notice in the greeting; outbound calls play an automated recording announcement at the start of the call. If you do not wish to be recorded, tell us at the start of the call and we will continue unrecorded or communicate by email/text instead.
- Photographs and video: we take photos and video of appliances, work areas, and pre-existing conditions before, during, and after service. These images are used solely for: (a) documenting the scope of work and pre-existing conditions; (b) supporting warranty claims; (c) internal quality assurance; and (d) sharing with the manufacturer when required for warranty or authorization purposes. We do not use service photographs or video for public marketing, social media, or advertising without your explicit written consent.
- To report warranty repair data to the appliance manufacturer when we perform factory-authorized warranty service, as required by our servicer agreements.
- To comply with legal, tax, and licensing obligations (including BHGS records requirements).
We do not sell your personal information, and we do not share it with third parties for their marketing.
Who We Share It With
- iWallet — payment processing (their privacy policy governs payment data).
- Appliance manufacturers/distributors — only for factory warranty claims on your appliance (model, serial, fault, repair performed).
- Workiz — our field-service management platform: online booking, scheduling, dispatch, and SMS appointment communications (their privacy policy governs data processed on their systems).
- RingCentral — our business phone and messaging system: voice calls and text messages with customers are routed through RingCentral's systems.
- Service providers — website hosting and business software under confidentiality obligations.
- Legal — when required by law, or to collect unpaid balances (collection agency/attorney receive only the information needed for the debt).
Cookies & Analytics
Our website uses essential cookies and Google Analytics 4 (via Google Tag Manager) for aggregate traffic statistics. We do not use advertising cookies. Regarding "Do Not Track": there is no industry-standard response; our site's data collection is the same minimal set for all visitors. You can block cookies in your browser; the site remains usable.
Data Security & Retention
Service and invoice records are retained as required for warranty service, tax, and BHGS licensing compliance, then deleted or anonymized. Access is limited to personnel who need it to perform or support your service. In the event of a data breach affecting your unencrypted personal information, we will notify you in the most expedient time possible and without unreasonable delay, consistent with Cal. Civil Code §1798.82.
Your Choices & Rights (California)
- You may request a copy, correction, or deletion of your personal information by contacting us below (service and invoice records subject to legal retention requirements may be exempt from deletion).
- You may opt out of marketing emails via the unsubscribe link in any message (transactional messages about your active service are not marketing).
- California's Shine the Light and CalOPPA: we do not share personal information with third parties for their direct marketing.
Children
Our services and website are directed to adults. We do not knowingly collect information from children under 13.
Changes
We will post updates on this page with a new effective date. Material changes will be noted prominently.
