General Terms and Conditions of Service

By signing a Service Order, scheduling a visit, or permitting a ServiceON Inc. ("ServiceON," "we," "us") technician to begin work, you ("Customer") agree to these Terms and the applicable Service Order. If you sign or grant access on behalf of a property owner or landlord, you represent that you are authorized to do so, and your signature binds that party (see §10.4).
1. Agreement
An adult (18+) or authorized caregiver must be present for the entire appointment window. Appointments are scheduled in a two-hour arrival window.
Phone calls with ServiceON may be recorded for quality assurance and service records; a recording notice is played at the start of recorded calls. See our Privacy Policy for details.
2. Diagnostic Fee
- 2.1. ServiceON charges a Diagnostic Fee for all non-warranty service visits. The fee is quoted before the visit and is due at or before the start of diagnosis.
- 2.2. The Diagnostic Fee is fully credited toward the repair if you proceed with the recommended repair by ServiceON. If you decline the repair, the Diagnostic Fee is non-refundable — it compensates the on-site evaluation performed.
- 2.3. Diagnosis of a second or additional appliance at the same visit: $145 per appliance, not combinable with promotional discounts. Each appliance is diagnosed and billed separately. The time required to properly diagnose each unit is substantial; no multi-appliance discounts are offered.
- 2.4. A later visit for a different fault on the same appliance is a new service call.
- 2.5. Safety and right to refuse. ServiceON reserves the right to decline or discontinue work, or to refuse entry, if on-site conditions present a hazard to personnel. This includes, but is not limited to, aggressive unrestrained pets, exposed wiring, structural instability, threatening behavior, or any other condition the technician reasonably deems unsafe. The Customer is responsible for maintaining a safe working environment. If a technician is injured by a pet or other hazardous condition on the premises due to the Customer's failure to secure the animal or remedy the hazard, the Customer assumes full liability for resulting injuries and costs. If diagnosis has already begun, the Diagnostic Fee remains due.
3. Estimates and Pricing (Cal. Bus. & Prof. Code §9844)
- 3.1. Before repair work begins, you receive a written estimate for parts and labor. We will not charge more than the written estimate without your prior consent. If additional work is discovered, we stop, explain, and obtain your approval for a revised estimate before proceeding.
- 3.2. Estimates are valid for 14 days from issue. An estimate reflects the appliance's condition as diagnosed on the visit date and parts pricing current at that time. Continued operation of a faulty appliance can cause additional damage beyond the diagnosed fault, and supplier parts pricing changes. If the appliance was operated after diagnosis and new faults are found, or if its condition has otherwise changed, a revised estimate is required. After 14 days, a new diagnosis and updated estimate may be required before repair. Applicable sales tax is included as stated on the estimate.
3.3. Replaced parts — recycling and return
- (a) By default, all replaced parts are responsibly recycled or disposed of by ServiceON in compliance with applicable California environmental laws.
- (b) Customer-supplied parts: ServiceON does not install customer-supplied parts except by prior written agreement. No warranty applies to customer-supplied parts.
- (c) Return of replaced parts to Customer: You have the right to request return of replaced parts per Cal. BPC §9844.5. We will ask you at the time of the estimate whether you want the replaced parts returned to you. If you request them, you must sign a written acknowledgment that you assume responsibility for proper disposal or recycling of those parts in accordance with all applicable California and federal environmental regulations, including but not limited to laws governing electronic waste (e-waste), refrigerants, and hazardous materials. Parts that must be returned to the manufacturer, distributor, or warranty provider for core exchange, warranty claim, or diagnostic verification cannot be returned to you; failure to return such parts to the supplier may result in additional charges to the Customer.
- (d) Parts requested for return must be collected at the time of service completion or within 14 days. After 14 days, unclaimed parts may be recycled or disposed of at ServiceON's discretion.
4. Payment
- 4.1. Payment is due upon completion of service. ServiceON accepts cash and electronic payment. For electronic payment, we send a secure payment link to the mobile phone number on your Service Order via SMS; you follow the link to complete payment through our third-party payment processor, iWallet (iwallet.com), using card, tap-to-pay, or other methods iWallet supports. We do not collect, store, or process card numbers on our own systems — all payment data is handled entirely by iWallet on their secure platform. Personal and business checks are not accepted.
- 4.2. No card surcharges. The amount on your invoice is the amount you pay — ServiceON absorbs all payment processing fees. There are no card fees, checkout fees, or add-ons of any kind.
- 4.3. Refunds. Where a refund is due under these Terms, it is issued by the original payment method for the full refundable amount. ServiceON never deducts payment-processor fees or administrative charges from customer refunds — the company absorbs any non-recoverable processor fees or losses incurred in processing a refund. Amounts retained under a specific provision of these Terms (e.g., the Diagnostic Fee under §2.2, or the restocking and return-shipping charges under §4.6 for cancellations after parts ordering) are charges under those provisions, not deductions from a refund.
- 4.4. For repairs requiring ordered parts, an advance deposit equal to the parts cost plus the Diagnostic Fee — or 50% of the total invoice, whichever we specify on the Service Order — is required before ordering.
- 4.5. Special-order and custom-order parts are non-refundable once ordered. Backordered parts cannot be returned.
- 4.6. If you cancel after approving an estimate and after parts were ordered for your job: a 20% restocking fee on the parts price plus actual return shipping costs applies; the Diagnostic Fee remains earned and non-refundable. Any deposit balance above these amounts is refunded within 10 business days by the original payment method.
- 4.7. Late balances accrue interest at 1.5% per month (18% APR) or the maximum rate permitted by law, whichever is lower.
- 4.8. Checks are not accepted. If an electronic payment is reversed, disputed without valid grounds, or otherwise fails after service completion, the balance remains due under §4.7 and §4.9.
- 4.9. You are responsible for reasonable costs of collection of unpaid amounts, including collection agency fees, court costs, and attorney's fees where awarded.
5. Warranty — One Unified Schedule
- 5.1. Workmanship (labor) warranty: 30 days from completion, covering the specific fault corrected and the workmanship of that repair, as described on the invoice.
- 5.2. Parts warranty: OEM factory parts carry the manufacturer's service-parts warranty, which varies by brand — a 30-day period.g., Miele allows 30 days on parts and labor). ServiceON installs only manufacturer-approved parts. If a part we installed fails within the manufacturer's service-parts warranty due to a defect, we replace the part per the manufacturer's terms; labor is covered at no charge within the 30-day labor period, and quoted separately thereafter. The applicable parts warranty period for your brand is stated on the invoice.
- 5.3. Sealed-system repairs (compressor replacement, refrigerant charge, leak repair — performed under EPA §608 certification): 30-day workmanship warranty. Sealed-system diagnosis on systems previously opened by others is excluded from warranty.
- 5.4. Definition of a completed repair: a repair is complete when the reported fault is corrected and the appliance passes the manufacturer's functional test applicable to that fault. This is the objective standard for "fixed" under these Terms and for any warranty claim.
- 5.5. Remedy — at ServiceON's discretion: re-repair at no charge, replacement of the defective part, partial or full refund of the amount paid for the affected repair, or service credit. Our total liability under this warranty is limited to the amount you paid for the affected service.
- 5.6. Warranty claim procedure: contact us with your invoice number, a description of the recurring issue, and photos/video if available. We respond within 2 business days and schedule warranty service within 3–5 business days, Monday–Friday. No warranty dispatches on weekends or holidays.
- 5.7. Exclusions: different or new faults (even with similar symptoms); damage from misuse, overloading, physical damage, power surges, water intrusion, pests, fire, or acts of God; pre-existing conditions and prior unauthorized repairs; cosmetic parts and cosmetic damage not affecting function; customer-supplied parts (no warranty; surcharge may apply); cleaning and maintenance services; appliances moved from the premises of the original repair; commercial use of residential appliances.
- 5.8. Intermittent faults: if a reported fault cannot be reproduced during two consecutive warranty visits, further visits for that non-reproducible symptom are outside warranty until the fault is observable or logged by the appliance's own diagnostics.
- 5.9. Warranty void if: the appliance is serviced, modified, or diagnosed by any person or company not authorized in writing by ServiceON after our repair; invoiced charges are unpaid, charged back, or disputed; the appliance was misused or physically damaged.
- 5.10. Warranties in these Terms are exclusive, non-transferable, and to the extent permitted by law replace implied warranties of merchantability and fitness.
6. Manufacturer Warranty Service (Factory-Authorized Work)
- 6.1. For brands where ServiceON is a factory-authorized servicer, in-warranty repairs are performed under contract with the manufacturer at no repair cost to the Customer (subject to the manufacturer's warranty determination).
- 6.2. ServiceON reports diagnostic and repair data to the manufacturer as required by the authorization contract; certain internal service data is proprietary to the manufacturer and is not disclosed to the Customer.
- 6.3. The manufacturer — not ServiceON — determines warranty coverage of the appliance itself. If the manufacturer denies coverage, we will quote the repair as out-of-warranty before any chargeable work begins.
- 6.4. ServiceON maintains General Liability and Workers' Compensation insurance.
7. Cancellations, No-Shows, and Delays
- 7.1. Life happens — we ask for at least 24 hours' notice to cancel or reschedule.
- 7.2. Missed appointments, cancellations, or reschedules with less than 24 hours' notice, or failure to provide access during the arrival window, incur a fee equal to the Diagnostic Fee for that visit. This fee reflects reserved technician time and route planning that cannot be re-booked on short notice.
- 7.3. Force majeure. ServiceON is not liable for delays caused by circumstances beyond our reasonable control, including severe weather, supply-chain shortages, manufacturer backorders, pandemic restrictions, transportation delays, or acts of God. We will notify you promptly of any delay and offer rescheduling.
8. Liability
- 8.1. Cap: ServiceON's total liability arising from any service, on any legal theory, is limited to the amount you paid for that service.
- 8.2. No consequential damages: we are not liable for special, incidental, indirect, or consequential damages — including food or product spoilage, loss of business income, or water damage from pre-existing conditions — except where such limitation is prohibited by law.
- 8.3. Nothing in these Terms limits liability for gross negligence, willful misconduct, or violations of law (Cal. Civil Code §1668).
9. Informed-Risk Acknowledgments
By authorizing the work you acknowledge these inherent risks, which are explained by the technician on site:
- 9.1. Moving appliances: built-in and counter-depth units sit in tight spaces; moving them can mark floors or cabinetry despite protective measures. We photograph pre-existing conditions before moving. You accept the inherent risk of moving where you request it.
- 9.2. Glass/ceramic cooktops: lifting a glass cooktop carries an inherent risk of breakage even with correct technique; replacement glass is chargeable if breakage occurs absent negligence.
- 9.3. Connected systems: work on water-, gas-, or drain-connected machinery carries inherent risk of leakage from aged fittings and lines not part of the appliance.
- 9.4. Refrigeration: cooling equipment can fail before, during, or after service for reasons unrelated to the work performed; do not store irreplaceable or high-value perishables in an appliance awaiting or undergoing repair.
10. General
- 10.1. Disputes: written notice to ServiceON first; unresolved disputes are decided by binding arbitration under AAA Consumer Arbitration Rules; no class or representative actions.
- 10.2. These Terms plus each Service Order are the entire agreement and supersede prior versions. Invalid provisions are severed; the rest remains effective.
- 10.3. Verify your technician: ServiceON dispatches only technicians identified through our booking confirmation. We are not responsible for impostors using our name; confirmation details let you verify before granting access.
- 10.4. If the property owner is not present, the adult granting access represents the owner's interests and may sign with the same effect.
- 10.5. Governing law. These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles.
